Responsibilities:
Tasks:
· Sort and distribute both physical and electronic incoming mail and other materials to relevant recipients. Ensure timely and efficient handling of all correspondence.
· Facilitate the smooth flow of information within the company by ensuring that messages, memos, and documents are disseminated to the appropriate individuals or departments.
· Organize and coordinate meetings, seminars, conferences, and other company events. This includes scheduling, sending out invitations, arranging venues, and providing necessary materials or equipment.
· Assist in project management by assigning tasks, coordinating project timelines, and reviewing progress. Ensure that programs run smoothly and deadlines are met.
· Attend meetings, seminars, and conferences to record and prepare accurate minutes. Summarize discussions and decisions made during these events for documentation and reference.
· Determine and establish office procedures and routines to enhance efficiency and productivity within the company. Ensure that standard operating procedures are followed.
· Manage the calendar of appointments for key personnel, schedule appointments, and confirm them to avoid conflicts or double bookings.
· Assist in managing contracts by organizing documentation, tracking contract deadlines, and ensuring compliance with agreed-upon terms and conditions.
· Answer telephone calls, take messages, and respond to electronic inquiries professionally and promptly. Relay important messages to relevant parties.
· Collect and compile data, statistics, and other information as required by management or for reporting purposes. Ensure accuracy and organize data for easy retrieval.
· Maintain an inventory of office supplies, order necessary items when needed, and ensure that the office is well-stocked with essential materials for daily operations.
· Arrange travel itineraries, bookings, and related accommodations for employees, ensuring cost-effectiveness and adherence to company travel policies.
· Greet visitors and clients, ensuring they feel welcome, and direct them to the appropriate contacts or service areas within the company.
· Set up and maintain both manual and computerized information filing systems to ensure the efficient organization and retrieval of documents and records.
· Type and proofread various documents, including correspondence, forms, and other important company documents, to maintain professionalism and accuracy in communication.
